How to use a transparent digital stamp in Word
Learn how to use a digital stamp in Word with a transparent PNG, control text wrapping, size it cleanly, and preserve the document layout.
To use a digital stamp in Word, insert the transparent PNG as a picture, choose the right text-wrapping mode, resize from a corner, and inspect the exported document. A transparent stamp behaves like any other picture except that it has no white rectangle behind the letters and borders.
Work on a copy until the placement looks right. The instructions below describe recent desktop versions of Microsoft Word; exact labels and icon positions can vary by operating system and release.

Before you use a digital stamp in Word
Download the 3000 px transparent PNG from the free digital stamp maker. PNG is the most predictable format for Word documents. The SVG export is useful when you need vector scaling and your Word version handles SVG correctly, but PNG is easier to share across mixed office environments.
Choose a truthful, concise stamp message. A busy logo or heavy texture may be readable in the large preview but disappear when the image is reduced on a document page. If the file will be printed, test on paper before adding the mark to many documents.
A digital stamp in Word remains a picture object, even when it resembles ink or handwriting. Plan its placement around Word’s picture behavior instead of expecting it to become a native approval or signature control.
1. Insert the PNG
Open the Insert tab, choose Pictures, and select the downloaded PNG. Word may place it on its own line at first. That is normal: Word initially treats many pictures like a large text character. Keep the image selected so the picture formatting and layout controls remain visible.
If the stamp displays with a white rectangle, verify that you inserted the exported PNG rather than a JPEG or screenshot. A correct transparent PNG reveals the document page between the border, letters, and logo.
2. Change text wrapping
Select the image, open Layout Options, and choose In Front of Text when the stamp must sit over an existing area. Choose Square when the surrounding text should move around it. Behind Text can make a watermark-like layout, but it may reduce readability and can be difficult to select again.
Use In Line with Text when the stamp belongs in a paragraph, table cell, or signature block and should move with that text. It is less flexible for overlay placement but often behaves more predictably as the document changes.

3. Resize from a corner
Drag a corner handle so the stamp keeps its proportions. Avoid stretching only the side or top handle, because that turns circles into ovals and makes the text look distorted.
Judge size at normal page zoom. The center word should be readable without covering nearby dates, amounts, names, instructions, or form fields. For consistency across several documents, open Size and Position and reuse the same width rather than resizing each stamp by eye.
4. Position the stamp precisely
Drag the selected image to the intended location. Word may show alignment guides as the stamp approaches a margin, paragraph, or other object. Use those guides for repeatable placement, and consider fixing the position on the page when the stamp must not move as surrounding text changes.
Documents with tables, columns, headers, and floating shapes can behave differently from a simple letter. If the stamp jumps to another page, check its anchor and wrapping settings. Placing the graphic inside a dedicated table cell is sometimes more stable than floating it over a complex form.
When a digital stamp in Word must stay beside a particular paragraph, verify that its anchor remains with that paragraph after adding text, changing margins, or opening the file on another computer.
5. Reuse a stamp in a header or template
For a recurring brand mark, consider placing the stamp in a Word template or header rather than copying it manually into every document. Keep it away from page numbers and other repeating fields. A status such as Paid or Approved usually belongs on a specific document, however, and should not be baked into a reusable template by accident.
Store the original exported PNG separately. Repeatedly copying an image from one Word document to another can introduce compression or make it harder to confirm which stamp version is current.
6. Test the final output
Save the Word file, then export it to PDF and open that PDF separately. Check that the stamp is legible, the transparent area stayed clear, the image did not move, and the mark does not cover important content. If the recipient will print the file, inspect a test page because fine lines and worn texture can reproduce differently on paper.
The exported PDF is the best final check when you use a digital stamp in Word for distribution. It reveals whether wrapping, anchors, image compression, page breaks, or font changes moved the stamp after editing. Troubleshooting Word stamp placement
The stamp moves when text changes
Review the image anchor and layout options. Use Fix position on page for a deliberate overlay, or In Line with Text when the image should move with a paragraph. Complex documents may be more stable when the stamp sits inside a table cell.
The stamp is blurry after export
Insert the original 3000 px PNG instead of enlarging an image copied from email, chat, or another document. Also review Word’s image-compression settings before preparing a high-quality final PDF.
The stamp covers words or fields
Move it to an intentionally empty area or reduce its size proportionally. Transparency does not make text behind a dark border or center label readable, so visual overlap still needs inspection.
Graphic stamp versus verified signature
A stamp image does not prove who approved or signed a document. Keep the actual approval record in the appropriate workflow or use a verified electronic-signature service when required.
